Creating and customizing business documents in Billdu is an absolute breeze. If you want to create price quotes and estimates the easiest way, try Billdu's Quote Generator and Estimate Generator. You can further personalize your quotation template layout via the Custom Labels menu in Template Design. Choose appropriate headings and labels for the individual items on your documents to best suit your business.
Choose Word when you want a clean, editable one-page quote you can adjust and send the same day. Choose Excel when your quotes carry many line items and you want quantities, discounts, taxes and totals calculated for you. PDF is the sending format, not the editing one - export your finished quote to PDF so the layout stays fixed on the client's screen. Google Docs and Sheets work like Word and Excel but live in your browser, which suits teams sharing one master file. Many businesses keep a Word and an Excel version and switch depending on the job.
Every Word template above contains the same professional elements — here's what each one does:
The first item in our quote template – you can choose the numbering style and override it manually.
Insert your business name, your address, city, zip/postcode, country, email, phone and your bank details.
Similarly, fill out the customer details so that the template contains real customer data
The issue date is automatically generated into your quote template, so is the validity
List of products or services you are quoting to your customer and their units, if applicable
Enter quoted prices for your items. They can be automatically added from your product list
A quote is a fixed price offer: once the client accepts it, you're expected to deliver at that price. An estimate is an informed approximation - the final cost may change as the work develops. A proforma invoice looks like an invoice but works like a quote: it previews the goods, prices and terms before a deal is final, and it isn't a payment request. An invoice is the payment request itself, issued after the work is done or the goods are delivered. In practice: send an estimate when scope is uncertain, a quote when you can commit to a price, a proforma when the client needs a formal preview (often for imports or approvals), and an invoice when it's time to get paid.

They carry similar details, but a quote is sent before the work to fix the price, while an invoice is sent after the work to request payment. An accepted quote typically becomes the invoice.
Generally yes, once the client accepts it within the validity period - you're committing to deliver at the stated price. An estimate is not binding, which is the key difference between the two.
