A purchase order (PO) is a document the buyer sends to a seller to formally order goods or services at agreed prices and terms. It comes before the invoice: the buyer issues the PO, the seller fulfils the order, then bills against it. Once the seller accepts it, the PO becomes a binding agreement - and its unique number lets both sides track the order through to delivery and payment.

Download the Word template above and open it in Microsoft Word (or upload to Google Docs / open in Pages).
Add your details (the buyer) and your supplier's details.
Enter a unique purchase order number and the issue and delivery dates.
List the items or services you're ordering, with quantities and agreed unit prices.
Add the delivery location, billing address (if different) and any payment terms or discounts.
Total the order - Word doesn't calculate automatically, so add up the lines and type the total (or use the Excel version for automatic totals).
Save and export to PDF (File → Save As → PDF), then send it to your supplier.
Word - best for a clean, simple purchase order you'll print or email.
Excel - best when you're ordering many line items and want totals to calculate automatically. (link: Purchase order Excel template)
PDF - best for sending a fixed copy your supplier can't change.
Lock the layout before sending - export to PDF so your supplier can't accidentally change your figures.
Keep a master copy - duplicate it per supplier so your original Word file stays clean.
Number your POs sequentially - Word won't do this for you, so keep a running log (or let Billdu number them automatically).

Always include the delivery date and location so there's no ambiguity about what's due and where.
